Glossary

Every term Alviyora uses, in plain language. Where the product’s word differs from the one schools normally use, both are given.

A#

Academic year — The year everything is filed under: registers, timetables, homework, assessments and marks. One is marked current, and most screens work against that one. → Years, grades, classes and subjects

Account link — A request to move a school’s record for a person onto an existing Alviyora account that already owns the email address. Nothing moves until the person confirms it from that mailbox. Expires after 7 days. → Invitations and account linking

Activity log — The record of who did what at your school, and when. Also called the action log. → The activity log

Affiliation — A person’s attachment to a school: their roles there, their profile, their history. One person can hold several, one per school. It is the technical name for “your place at this school”, and appears occasionally in the interface.

Announcement — A message from the school to everyone, or to staff, learners or guardians. Carries read receipts. → Announcements

Assessment — A test, assignment, exam, project or practical. Carries a total, a weight, a term and a date. Marks attach to it. → Assessments, marks and reports

Attendance code — The rotating QR code staff scan to clock in and out. Lasts three hours. → Staff attendance and the QR clock

B#

Band — The learner-count bracket that decides your subscription price. → Your Alviyora subscription

Billing — What your school pays Alviyora. Different from Finance, which is what parents pay your school. → Your Alviyora subscription

Billing contact (guardian) — A guardian who receives and pays a learner’s fee invoices. Where several share, each carries a percentage and the shares must total 100%. → School fees

Bulk upload — Importing people or timetables from a spreadsheet. → Importing from a spreadsheet

C#

Class — A teaching group inside a grade — 8A, 8B. Alviyora calls it a section in some places; they are the same thing. Called a stream in some schools.

Clock in / clock out — Staff recording their arrival and departure, usually by scanning the QR code. → Staff attendance

Compulsory subject — A subject every learner in a grade takes. Bulk enrol enrols them all. The opposite is an elective. → Grade subjects and enrolments

D#

Device session — One sign-in on one device. Listed under Settings, and any of them can be signed out from anywhere. → Your personal settings

E#

Elective — A subject chosen per learner rather than taken by the whole grade.

Enrolment — The link between a learner and a subject. What lets a mark attach to the right learner in the right subject. → Grade subjects and enrolments

Excused — A register status: not at school, with a reason the school accepts. Distinct from Absent. → The daily learner register

F#

Fee item — An optional extra billed on its own cadence — transport, aftercare, a camp. → School fees

Fee run — Issuing invoices for one period across the school. The same period cannot be run twice. → School fees

Fee structure — The annual fee for one grade in one year. Everything else divides it up. → School fees

Finance — What parents pay your school. Different from Billing. → School fees

G#

Grace period — The minutes after the school’s start time during which an arrival still counts as Present rather than Late. → School settings

Grade — A year group — Grade R to Grade 12. The backbone of classes, timetables and the register.

Grade subject — A subject attached to a grade for a year, marked compulsory or elective. Bulk enrolment reads this list. → Grade subjects and enrolments

Guardian — A parent or caregiver, linked to one or more learners with a stated relationship. → The parents portal

H#

Homework completion — A learner’s own tick that they have done a homework item. Not a submission. → Homework

I#

Invitation — An offer to somebody who already has an Alviyora account to join your school with named roles. Grants nothing until accepted. Expires after 14 days. → Invitations and account linking

L#

Learner — A student. Alviyora uses learner throughout, matching South African usage.

Learner report — One learner’s whole academic picture: subjects, assessments, marks and averages. → Assessments, marks and reports

M#

Mark — A learner’s score on an assessment. Can also be recorded as absent, which is different from a zero.

O#

Onboarding / Setup Guide — The ordered checklist a new school works down. It checks your real data, not a tick box. → Set up a new school

P#

Period — A slot in the school day: Period 1, Break, Period 2. Timetables are built out of them. → Timetables

Permission — One narrow ability, such as Take Learner Attendance. Reaches a person through a role. → Permissions reference

Promotion — Moving learners up a grade at the end of a year, or retaining them. → Year-end promotion

Publish (assessment) — Making marks visible to learners and guardians. Until published, they are staff-only. → Assessments, marks and reports

R#

Read receipt — The record that a particular person opened an announcement. → Announcements

Register — The daily class roll: one status per learner per day. → The daily learner register

Restricted permission — One that cannot be assigned through the permission matrix at all. Generate Timetable is the only one. → Permissions reference

Role — A named bundle of permissions. Four ship with every school; you can build your own. → Roles and permissions

S#

Section — Alviyora’s word for a class inside a grade. Same as class.

Segment (SMS) — The unit an SMS is billed in: 160 characters of plain text, or 70 with any special character. → Sending an SMS to a guardian

Staff role — A role marked as belonging to people who work at the school. Staff roles appear on the Staff page and can be assigned when registering staff. → Roles and permissions

Subject — Something taught, listed once at school level and then attached to grades.

T#

Teacher assignment — Which teacher takes which subject in which grade. The register, the timetable and mark capture all read from it — and an empty class picker is almost always a missing one. → Years, grades, classes and subjects

Term — One of four in a year. Assessments are filed under one.

Timetable generator — The tool that builds the whole school’s timetable from your period requirements, rooms and teacher availability. → Timetables

W#

Weight — An assessment’s percentage contribution to a subject’s final mark. Getting these right through the year is what makes the year-end average trustworthy. → Assessments, marks and reports

Y#

Year-end result — A learner’s final average and the promotion decision recorded against it. → Year-end promotion
