Guides by role
For school administrators
The full run of the school: people, academics, money and everything in between.
On this page
This page has no sections.
The Admin role holds every permission in the system except one — access to the parents portal, which belongs to guardians. Everything on this page is yours.
This is a map rather than a manual: each section says what the screen is for and links to the page that explains it.
Setting up
If your school is new, work down the Setup Guide at the top of the sidebar. It is ordered so that setting something up always comes before using it, and it checks your real data rather than a tick box.
Running the school day
Attendance. Display the QR code at reception, watch the live on-site board, and pull staff-hours reports by week, month or year. The learner register is taken by teachers; the reports across all classes are yours.
Communication. Post announcements to the whole school or to one audience, with read receipts. Reach an individual parent by SMS.
People
Add staff, learners and guardians one at a time, or import a whole school from a spreadsheet. Both are yours. So is everything about who can do what.
Academics
The scaffolding — years, grades, classes, subjects — plus enrolment, timetables, marks and the year-end close.
Money
Two separate things, on two separate permissions:
- Finance — what parents pay your school. Fee structures, extras, schedules, who gets the invoice.
- Billing — what your school pays Alviyora.
Administration
The year, in order
A school year has a shape, and doing each part when it is due is much easier than doing it late:
| When | What |
|---|---|
| Before the year starts | Create the academic year and mark it current. Set grade subjects for the new year. Enrol classes. Set teacher assignments. Build or generate the timetable |
| First week | Check school hours and the grace period. Post a welcome announcement. Hand out sign-in details |
| Each term | Create assessments with correct weights. Publish marks when marking is finished |
| Ongoing | Watch attendance reports for patterns. Keep guardian phone numbers current |
| Year end | Generate year-end results, decide the Pending rows, promote. Then set up the new year |
The three things that cause the most support calls
1. “The register is broken.” It is a missing teacher assignment nine times out of ten. → Years, grades, classes and subjects
2. “Bulk enrol did nothing.” No grade subjects are defined for that grade, so there was nothing to enrol anybody in. → Grade subjects and enrolments
3. “Everyone is late.” School hours or the grace period do not match your school. → School settings
